Goldstream Farmers Market Vendor Application & Agreement

Thank you for your interest in vending at the Goldstream Farmers Market (GFM). We are a Goldstream Valley Lions Club (GVLC) Program that aims to assist with food security in our community, support our community by providing a forum for community members to grow their business, and to increase community access to local food and products.

Vendors will be approved based on the business information provided below and the anticipated benefit that you offer to the Goldstream community.  GVLC reserves the right to deny, or prioritize the selection of Vendors based on the spirit of this market which is local agriculture, local arts and crafts, and community service focused.

Vendors must read and, by signing, agree to adhere to the terms of our agreement. Please take a moment to read our terms and, if you would like to continue, complete the application and agreement. (You must be at least 18 years old to apply and sign the agreement.)

If you do not currently have a business license or carry insurance, please continue to fill out the form and the GVLC will determine if licensing and the insurance requirement can be waived for you.

Please attach a copy of your current business license and insurance coverage with this application.  It will be your responsibility to update the GFM/GVLC with your business license and insurance, as they renew or expire, for the duration of your status as a GFM Vendor.

Will prepared foods be prepared in a commercial kitchen?

***To sell prepared food you must comply with all DEC regulations. You may contact DEC for further information and for proper labeling requirements***

TERMS OF AGREEMENT

Hours of Operation and Attendance

The GFM will be held on Sunday afternoon 2-4:30pm. All Vendors must notify market coordinators if they wish to attend that week’s market and GFM will accommodate such Vendors on a space available basis. Vendors are required to stay for the duration of the market unless they have sold all their products or have permission from market coordinators.  Vendors must not start breaking down their booths until market closing, unless otherwise specified.

Punctuality and Cancellations

Please confirm your intention to sell, or your need to cancel, the by the Wednesday preceding a scheduled market. Last minute cancellations cause other Vendors to lose an opportunity to take your space; please be considerate.

If you are unable to make it to market for any reason after confirming, please notify the market coordinator as soon as possible. If a Vendor arrives late, and a market coordinator does not believe the Vendor will be set up in time, the Vendor will not be permitted to sell at the market that day.

Set-Up and Vendor Vehicles

Set up will begin an hour before the market opens. All Vendors must be set up 10 minutes prior to market start.

Vendors are not allowed to store any items at the market site. Booths must be clean, presentable, and free of hazards.  Vendors should display the business name and all required labeling clearly. All signage will have appropriate language; no foul words or phrases. 

Vendors must park their vehicles in designated Vendor parking areas. The parking lot in front of the building and market space should remain open for park visitors and market customers.

Vendor Fees

The GFM will provide an assessment slip to each Vendor at the end of each market day. Fees are 5% of gross sales (multiply total sales by .05) and are to be paid in full at the end of each market in cash only.

Children at the Market

Children are welcome to accompany Vendors and must be supervised by a parent or guardian at all times. Children must not disrupt other Vendors or customers. Children under the age of 5 are not permitted to sell; children aged 6-16 may sell, but must have a parent or guardian accompany them.

Pets and Farm Animals

Pets are allowed to accompany Vendors but must be well mannered, leashed, vaccinated as required by law, and remain out of the customer traffic area. Market coordinators may ask you to remove your pet if it becomes disruptive to other Vendors, customers, or other animals.

Vendors may sell farm animals only if free from all transferable illness.  All animals must be placed in cages or proper restraints (chickens, rabbits, ducks, goats, etc.) Please place appropriate ground cover under cages to contain food, bedding, and feces. Vendors must clean up all debris from their pets and/or farm animals.

Clean-Up

Vendors are required to clean up after themselves at the end of each market. Food Vendors must use their own trashcans and haul their own trash at the end of each market. GVLC provided trashcans will be emptied by market coordinators.   Please inform someone if a trashcan is overflowing.

Restrooms

A sani-can is onsite and restrooms are available inside the Ken Kunkel Community Center. Please notify the market coordinator if there is any issue with either facility.   

Tobacco and Drugs

The Goldstream Community Market is a tobacco and drug free area. A smoking area will be designated away from congested areas. 

Food Vendors and ADEC Regulations

All food Vendors, both home and commercial, must comply with Alaska Department of Environmental Conservation (ADEC) rules. Commercial Kitchens – Food Vendors working out of commercial kitchens are responsible for working directly with ADEC to ensure compliance with all applicable ADEC requirements. A copy of their Commercial Kitchen Permit must be provided to GVLC upon application.

Safety

Vendors must comply with all applicable state and borough safety laws, including those for health.  Vendors using any apparatus producing an open flame must be located so as not to endanger other Vendors’ tents, displays, etc. Any Vendor using an open flame must have an approved fire extinguisher on site. Vendors must not have any displays that could be a trip or other hazard.   Vendors with animals will be set apart from food Vendors.

Liability Issues 

Vendor understands that GVLC is not responsible for loss or damage to any personal property of the Vendor and its guests or invitees. Vendor assumes all responsibility, risk, and liability for all its activities. Vendor agrees to indemnify, defend, and hold harmless the GVLC from any and all claims, damages, losses, and expenses, arising out of the Vendor’s use of the grounds and facilities.

Insurance

All Vendors who maintain a current business license must provide proof of liability insurance and name the Goldstream Valley Lions Club as an additional insured.  This proof of insurance must be provided within 7 days of approval as a GFM Vendor.  Vendors who have no business license and/or insurance may receive a waiver on a case-by-case basis.

In signing this Vendor Application & Agreement (or completing an electronic Vendor Application & Agreement), I recognize that my acceptance and participation in the GFM carries responsibilities. I have read and understand the terms of this Agreement and, by signing below, I agree to adhere to them in totality.  Furthermore, I understand that if I fail to follow the terms, I will not be permitted to sell at GFM. I acknowledge and agree that GFM is not required to select me as a Vendor and can also terminate permission, at any time, and for any reason it deems appropriate.

I state that I am at least eighteen years of age.  If I am representing a business or organization, I state that I have permission to bind that business or organization to the terms in this Vendor Application & Agreement. Furthermore, I understand that if I fail to follow the terms, I may be held liable and also prohibited from using from the GVLC in the future. Safety issues, failure to clean, and damages to facility and/or grounds may result in denial of future usage of GVLC property.
